Chailey Heritage Foundation has an exciting new opportunity for Volunteer Co-Ordinator to join a unique place to work.

  • SALARY: £27,000- £32,000 DOE
  • HOURS: Monday – Friday 37 hours

What you’ll be doing:

 

As the Volunteer Co-ordinator you will oversee the recruitment, training, placement, and retention of volunteers within the organisation. As part of the role you will manage the volunteer programmes, ensuring that volunteers are effectively integrated into the organisation’s operations.

 

Volunteer Recruitment and Placement

  • Manage the Volunteer recruitment and onboarding from attracting candidates, conducting interviews, maintaining a database and carry out pre-volunteering checks, including references and Disclosure and Barring Service (DBS) checks.

Training and Development

  • Provide ongoing support, resources and training solutions for new and existing volunteers.

Programme Management

  • Collaborate with department managers, the people team on volunteer needs and opportunities, ensuring all policies, procedures are compliant whilst monitor and evaluate volunteer programme effectiveness, adjusting as needed.

Volunteer Support and Recognition

  • Main point of contact for volunteers, addressing any concerns or issues promptly whilst providing regular communication to keep them relevant updates and opportunities..
  • Foster a positive and inclusive volunteer environment.

Administration and Reporting

  • Maintain accurate records of volunteer activities, including hours worked, training completed, and feedback received.
  • Maintain database, files and undertake any other administrative duties.
  • Attend committees and meetings when necessary.
  • Manage budgets and resources, including the reimbursement of expenses.
  • Prepare regular reports on volunteer programme metrics and outcomes.

Community Connection

  • Promote volunteering opportunities through recruitment campaigns
  • Seek out internal and external event opportunities to promote volunteering.
  • Build and maintain relationships with community organisations, schools, and other groups to promote volunteer opportunities.
  • Work with Comms and Marketing team to develop promotional materials and content to increase community awareness of volunteer programmes.
  • Coordinate/facilitate work experience requests

What you bring to the table:

 

Essential:

  • Experience in volunteer coordination or management.
  • Knowledge and experience of designing and managing campaigns
  • Experience in recruitment
  • Knowledge of best practices in volunteer management.
  • Experience with a community outreach scheme
  • Excellent communication skills, including networking and presentation skills.
  • Good organisational and time management skills, with the ability to multi-task, plan and prioritise workload.
  • Excellent communication and interpersonal skills, able to deal with a diverse range of people
  • Demonstrates the ability to inspire and motivate others.
  • Ability to negotiate, influence and problem solve and ability to think creatively.
  • Proficient administrative and IT skills (MS Outlook, Word, Excel and PowerPoint).
  • Empathy with volunteering and understanding of volunteers’ needs.
  • Flexibility to work evenings and weekends as needed

Other useful skills and experience:

  • Experience working in the Charity sector
